Job Summary:The Traffic Coordinator plays a pivotal role in our fast-paced environment, ensuring optimal workflow, providing project oversight and overseeing team bandwidth. They will effectively coordinate between internal teams, manage resource allocation, and forecast workloads to ensure efficient and timely delivery of projects. The team relies heavily on this role for guidance on delegating projects and tasks, confirming achievable delivery dates, and providing updates on overall capacity. Essential Functions of the Position:Project Management:Ensure projects stay on agreed timelines and within scope, developing action plans with the Traffic team to mitigate risksServe as liaison between the Creative team and Accounts team to define project due dates and project milestones, and align scheduled hours with budget expectationsMaintain clear and consistent communication through daily check-ins via slack, email and project management platformMaintain a high level visibility into all active and incoming projects across the agency Partner with the Account Management and Traffic teams to establish project workbacks and schedulesCommunicate priorities, schedule changes, and capacity updates to the Traffic Team, Creative Directors, and Account ManagersManage and update active projects using the companys project management, file-sharing, and time tracking/estimating toolsAttend daily Studio Stand-up meetingsProject Resources and Traffic Coordinating: Proactive in forecasting resources to ensure project objectives are met efficientlyCollaborate with Traffic Team and Creative leads on establishing internal teams for new engagementsCoordinate scheduling for both internal and freelance Creative team members.Maintain in-depth knowledge of agency bandwidth to confirm realistic turnaround times and delivery datesKeep the Traffic Calendar current, maintaining 4-6 weeks of projections and forecasting updatesReview Client SOWs to establish Traffic Calendar workbacks and hour allocationsSupport Traffic team with freelancer scheduling and communications Attend weekly Forecasting meetings to assess workloads and upcoming needsRequired Skills & Abilities: Strong organizational and multitasking skills with an exceptional attention to detailExcellent interpersonal and communication skills for effective coordination across teams Proven ability to forecast resources, plan workloads, and adjust priorities in a dynamic environment Adaptable and calm under pressure, able to pivot quickly while maintaining focus and composureSkilled at analyzing project data to make informed decisions and process improvementsComfortable managing a high volume of internal communications and competing priorities with clarity and consistency Education & Experience:Bachelors degree in Business Management, Project Management, or a related field.Minimum 3-5 years of experience in a traffic management and/or project management role, preferably in a design or creative agency settingProven track record managing multiple projects and tight deadlines under pressure while ensuring smooth, efficient project flowDemonstrated experience in coordinating and managing design projects within an agency setting, with a record of delivering on timeFamiliarity with presentation design software and tools, project management platforms (Trello preferred), Google Workspace, and understanding the time and resources needed for various tasksPosition Requirements:Location: Fully Remote/ PST time zoneAbility to work independently in a fully remote environmentHours: 30-40 hours per weekApplicants located in PST time zone or willing to work a PST shift required Travel Required: No travel required Work Type: Contract/SeasonalDuration of Assignment: 4-5 months, Dec 2025/Jan 2026 start- April 2026Must be willing to conduct oneself in accordance with Companys Core ValuesReporting Relationship:Position reports to Head of Traffic ManagementThis document is intended to describe the general nature and level of work being performed.
