Nuvance Health has a network of convenient hospital and outpatient locations – Danbury Hospital, New Milford Hospital, Norwalk Hospital and Sharon Hospital in Connecticut, and Northern Dutchess Hospital, Putnam Hospital Center and Vassar Brothers Medical Center in New York.
Purpose: Assumes responsibility, under the direction of the Nurse Manager, Cath Lab, for the coordination of all clerical and scheduling activities in the Cath Lab. Often the first contact of the Cath Lab and the Medical Center, represents both in a professional, courteous and efficient manner. Population served based on scope of services in the department.
Essential Responsibilities:
1. Schedules, organizes and standardizes secretarial area to facilitate smooth workflow. Ensures department is covered at all times and assigns job related duties as necessary.
2. “Arrives” new patients into Medical Center computer systems and verifies accuracy of information and test. Notifies department personnel of returning patients. Obtains all patient medical records, making sure all prior procedures are accounted for.
3. Schedules special procedure exams so they do not interfere with each other; coordinates with other departments such as the O.R. and enters scheduled exam in computer system. Advises other appropriate units, nursing staff and angiographers.
4. Compiles daily departmental services information for accurate verification of procedures and efficient patient throughput.
5. Prints next day’s schedules for all Cath Lab areas. Submits schedules to the clinical areas of the department and numerous departments in the institution.
6. Adjusts existing account charges in system as indicated by supervisor and billing department.
7. Coordinates billing procedure for Special Procedures; Cath, PCD, EP and peripheral.
8. Logs accurately and on a daily basis, all outpatient, inpatient and transfer statistics and tallies end of the month figures as needed. Logs all EP and PCI patients/exams statistics and accurately tallies end of the month figures as needed
9. Contributes to and actively participates in the department’s quality improvement program, tracking relevant patient care indicators and other indices used to audit department’s operations as requested
10. Assists in all aspects of Cath Lab research studies. Sends out all statistical tallies to appropriate medical staff and departments.
11. Provides departmental administrative support including:
12. Coordination of Cath Conferences, STEMI, Cath QI, and ad hoc meetings. Responsible for booking dates, conference space and equipment.
a. Gathers and distributes departmental mail.
b. Attends Operations meetings and takes detailed minutes.
c. Composes departmental correspondences and updates Policies & Procedures as directed.
d. Maintains office supplies.
13. Acts as liaison between all attending Cath Lab physicians’ personal offices by educating and meeting with office secretaries to maintain proper Cath Lab procedures and paper work for patient testing.

16. Performs other duties as required
Education and Experience Requirements:
• High School Diploma or equivalent.
• Minimum of two (2) years of Medical Office administrative experience.
• PREFER: One (1) year college or specialized post-high school training in medical terminology and medical office procedures.
• PREFER: Prior Cath Lab Experience.
Minimum Knowledge, Skills and Abilities Requirements:
• Medical Billing familiarity
• Medical Terminology experience
• Strong Computer skills
